Last-Minute Thesis Bibliography Checklist

A practical checklist to format and verify your thesis bibliography before the submission deadline.

Your thesis is written, your argument is solid, but your bibliography could still cost you marks. Use this checklist to catch formatting errors before you submit.

The 10-Point Bibliography Check

Run through each item before submitting. Most formatting deductions come from inconsistencies, not individual errors.

  1. One style throughout -- Every entry uses the same citation style (APA, MLA, Chicago, Harvard). Mixing styles is the most common reason for lost marks. If you inherited entries in different formats, use a tool to convert citations between styles before submitting.
  2. Alphabetical order -- APA, MLA, and Harvard reference lists are alphabetized by first author's last name. Chicago bibliography entries follow the same rule. IEEE and Vancouver use numbered order of appearance instead.
  3. Hanging indent -- Every entry after the first line should be indented 0.5 inches (1.27 cm). In Word: highlight all entries, go to Paragraph > Special > Hanging.
  4. Double spacing -- Most styles require double spacing between and within entries. Check your department's guidelines -- some allow single spacing within entries.
  5. Author names formatted correctly -- APA uses initials (Smith, J. D.), MLA uses full names (Smith, John David). Check every entry matches your style.
  6. Italics in the right places -- APA and MLA italicize book titles and journal names. Article and chapter titles aren't italicized in any major style.
  7. DOIs and URLs present -- If a source has a DOI, include it. Format: https://doi.org/10.xxxx/xxxxx. No "Retrieved from" prefix in APA 7th.
  8. Dates are consistent -- APA uses (2025). MLA uses day-month-year (15 Mar. 2025). Chicago spells out months. Pick your style's format and stick to it.
  9. Every in-text citation has a reference entry -- Search your paper for each parenthetical citation and confirm it appears in the bibliography. Then check the reverse -- every bibliography entry should be cited in the paper.
  10. Page numbers and volume numbers -- Journal articles need volume, issue, and page numbers. Books need publisher and year at minimum. Missing fields are easy to overlook.

Style-Specific Quick Checks

APA 7th Edition

  • Title of article in sentence case (only first word capitalized)
  • Journal name in title case and italics
  • DOI as a hyperlink, no period after it
  • "et al." after first author for works with 3+ authors (in-text)

MLA 9th Edition

  • Titles of articles in quotation marks, title case
  • Container titles (journals, websites) in italics
  • No URLs unless the source can't be found without one
  • Publisher name included for books

Chicago (Notes-Bibliography)

  • Footnote format differs from bibliography format
  • Shortened footnotes for repeat citations
  • "Ibid." for consecutive citations of the same source
  • Bibliography entries invert only the first author's name

  • Citing sources you didn't read -- If you found a quote in another paper, cite both the original and the secondary source
  • Wikipedia in the bibliography -- Use Wikipedia to find primary sources, then cite those instead
  • Outdated editions -- Make sure you're following the current edition of your citation style
  • Inconsistent publisher locations -- Some older style guides required city of publication; most current editions don't
